1. Rental Bookings & Confirmations

All vehicle reservations are subject to availability and confirmation by Vihan Tour and Travels:

• Booking Advance: A advance deposit may be requested to confirm bookings during peak travel seasons or outstation trips.
• Vehicle Allocation: While we endeavor to provide the exact requested vehicle model (e.g., Innova Crysta, Ertiga, Swift Dzire), we reserve the right to provide an equivalent or upgraded vehicle in rare cases of mechanical maintenance.
• Doorstep Delivery: Delivery to airports, railway stations, or designated local addresses requires clear advance location details and guest contact availability.

2. Pricing, Billing & Transparent Tariffs

We pride ourselves on 100% transparent pricing with no hidden surprises:

• Distance Rates: Per-kilometer rates (such as Rs. 18/KM for Innova Crysta or Rs. 13/KM for Ertiga) agreed upon before trip commencement apply strictly to final billing calculations.
• Tolls & Parking: All toll fees, state entry taxes, interstate permits, and parking charges incurred during the journey are payable directly by the client unless explicitly stated in an all-inclusive quote.
• Driver Allowances: For outstation trips spanning late night hours, standard daily driver allowance fees apply as detailed at booking time.

3. Requirements for Self-Drive Vehicles

For guests choosing self-drive rentals, strict verification rules apply for passenger safety:

• Valid Driving License: The renter must produce a valid original driving license and Government ID (Aadhaar/Passport) prior to key handover.
• Security Deposit: A refundable security deposit is payable before taking possession of the vehicle and will be returned post-trip following vehicle inspection.
• Usage Rules: Vehicles must not be used for illegal activities, subleasing, racing, or driving under the influence of alcohol or prohibited substances.

4. Cancellations & Modifications

We understand plans change. Our general cancellation structure is as follows:

• Cancellations made well in advance of the pickup time are eligible for a full or partial deposit refund.
• Late cancellations made right before scheduled pickup times may incur a nominal cancellation fee to cover driver dispatch or vehicle preparation costs.

5. Passenger Responsibility & Safety

Passengers are expected to treat vehicles with care. Any damage caused to the interior, plush seating, or technical fittings due to negligence or misconduct will be charged directly to the renter.

6. Limitation of Liability

Vihan Tour and Travels ensures all fleet vehicles are mechanically inspected, fully insured, and well-maintained. However, we are not liable for journey delays resulting from unforeseen traffic congestions, highway road repairs, weather events, or unexpected mechanical breakdowns, though prompt vehicle replacement support will be dispatched.
